The important bit — please read

  • PitchPing is not a booking service. We help you draft, translate and track your own enquiries. We do not sell pitches, take bookings, hold deposits, or act as your agent.
  • Every booking and payment is directly between you and the campsite. We never handle campsite money and cannot confirm, change, cancel or refund a campsite booking on your behalf.
  • Refunds from PitchPing only ever cover the PitchPing subscription itself (£8.99/year) — never a campsite deposit, booking, cancellation fee, travel cost or loss caused by a booking going wrong.
  • Emergency and roadside assistance features are provided as a convenience only. PitchPing and its developers do not hold themselves responsible if the Emergency feature fails to work, or if the roadside assistance features fail to connect you to help.

No access to your data

The PitchPing developers cannot see or access any of the personal data you save in the app. That includes your connected email account and password, passports, ID cards, driving licences, insurance policies, service records, booking documents, checklists, travel notes and any files you upload.

Your data is stored in your own account on our backend provider and is protected so that only you, when signed in, can read it. We do not log in as you, browse your files, or share them with anyone. Automated systems process your data only to run features you use (for example generating an enquiry with AI, or sending an email from your account) — never to give a human at PitchPing access to it.

If you delete an item, or delete your account, the associated data is removed from the app. You remain in control of what you store and can remove it at any time.

1. Who we are

PitchPing ("PitchPing", "we", "us") is an online tool that helps motorhome, campervan and caravan travellers search motorhome aires and campsites, draft polite multilingual enquiry messages, and keep track of replies, prices and deposits paid directly to campsites.

By creating an account or using PitchPing you agree to these terms. If you do not agree, please do not use the service.

2. What PitchPing does — and does not — do

PitchPing does:

  • Let you search maps of aires and campsites for planning purposes.
  • Generate suggested enquiry messages in several languages using AI.
  • Store the enquiries, prices and booking references you choose to record.

PitchPing does not:

  • Sell, reserve or guarantee a pitch, aire, campsite or any service.
  • Take, hold, process or forward booking payments or deposits to campsites.
  • Act as your travel agent, tour operator, or the campsite's agent.
  • Verify that a campsite, aire, opening date, price or facility listed on a map or in an AI response is accurate, available, open, or as described.

3. Bookings and payments are between you and the campsite

You are the person entering into a booking agreement with each campsite. All money you pay for pitches, deposits, hookups, tourist tax, cancellation fees or extras is paid directly by you to the campsite, using whatever payment method the campsite accepts.

PitchPing never receives, holds or processes those payments. We have no visibility of your card, bank or wallet transactions with a campsite, and we cannot reverse, refund, chargeback, cancel or dispute them.

If something goes wrong with a booking — a campsite refuses arrival, overbooks, closes, changes price, keeps a deposit, damages your vehicle, provides a pitch you did not expect, or fails to reply — you must resolve it directly with the campsite, your card issuer, your travel insurer, or the relevant consumer-protection authority in that country.

4. AI-generated messages and translations

Messages produced by PitchPing are generated by AI and may contain mistakes, including wrong dates, wrong prices, incorrect vehicle sizes, mistranslations, culturally inappropriate phrasing, or misleading commitments.

You are responsible for reading, checking and editing every message before you send it. If you send an incorrect message and the campsite acts on it — for example, holding the wrong dates, quoting the wrong price, refusing arrival, or charging a cancellation fee — that is between you and the campsite. PitchPing accepts no liability for translation errors, factual errors, or the consequences of any message sent from your account.

5. Aires, campsites and map data

Maps, aire locations, opening seasons, prices, facilities, reviews and photos may come from third-party sources (including Google Maps and publicly available datasets) or be submitted by users. Details can be out of date, inaccurate, or missing.

Always confirm opening dates, height/length restrictions, access, prices and availability with the campsite or aire operator before travelling. PitchPing is not responsible for wasted journeys, closed sites, wrong locations, restricted access, or any loss caused by relying on map or listing data.

6. Subscription, billing and refunds

PitchPing offers a free taster plan and a paid "Digital Nomad" subscription at £8.99 per year, billed in advance via our payment provider. Prices include any applicable VAT unless stated otherwise.

You can cancel your subscription at any time from your account. Cancellation stops future renewals; you keep access until the end of the period you have already paid for.

Refund policy for the PitchPing subscription: outside any statutory right you may have as a consumer in your country (for example, the UK 14-day cancellation right for digital services you have not started using), subscription payments are non-refundable. In particular, we do not offer refunds for:

  • Unused days, weeks or months of an active subscription.
  • Downgrading from annual to monthly billing mid-term.
  • A campsite failing to reply to an enquiry.
  • An AI-generated message being wrong, misunderstood, or badly translated.
  • A booking, deposit or trip going wrong for any reason.
  • Temporary service outages, planned maintenance, or third-party API downtime (Google Maps, AI providers, email delivery, payment processors).

PitchPing will never refund campsite money. The subscription fee is the only money PitchPing can refund, because it is the only money PitchPing ever receives from you.

7. Emergency and roadside assistance features

The Emergency feature in PitchPing is provided as a convenience only. It may not work in all locations, networks, devices or circumstances. PitchPing and its developers do not hold themselves responsible if the Emergency feature fails to connect, fails to share your location, or fails to work for any reason.

The roadside assistance features (including insurance and breakdown contact details stored in the app) are for information storage and quick dialling only. PitchPing does not provide roadside assistance, breakdown cover or emergency services, and we are not responsible if you cannot reach your provider, if the number is out of date, or if help does not arrive.

In any emergency you should use the official emergency number for the country you are in (such as 112 in Europe) and not rely solely on PitchPing.

8. Your account and acceptable use

You agree to:

  • Provide accurate account information and keep your password secure.
  • Use PitchPing only for genuine personal travel enquiries.
  • Not send spam, abusive, harassing, fraudulent, or illegal messages to campsites.
  • Not attempt to scrape, resell, or automate bulk requests against the service.
  • Not use PitchPing to impersonate anyone else.

We may suspend or close accounts that breach these rules, without refund of any unused subscription period attributable to the breach.

9. Limitation of liability

To the maximum extent permitted by law, PitchPing is provided "as is" and "as available", with no warranties of any kind, express or implied, including fitness for a particular purpose, accuracy, or uninterrupted availability.

PitchPing, its owners and its suppliers are not liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of profits, revenue, data, holiday, deposit, campsite fee, fuel, ferry crossing, insurance excess or other travel cost, arising out of or in connection with your use of PitchPing.

Where liability cannot lawfully be excluded, PitchPing's total aggregate liability to you for any claim relating to the service is limited to the greater of (a) the subscription fees you have paid PitchPing in the twelve months before the event giving rise to the claim, or (b) £20.

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under the law applicable to you.

10. Third-party services

PitchPing relies on third-party services including hosting, database and authentication providers, payment processors, AI model providers, and map/place data providers. We are not responsible for outages, changes, errors or data issues in those services, or for any campsite, aire or business listed by them.

11. Changes to these terms

We may update these terms from time to time — for example, to reflect legal changes or new features. Material changes will be notified through the app or by email. Continued use of PitchPing after changes take effect means you accept the updated terms.

12. Governing law and contact

These terms are governed by the laws of England & Wales. Disputes may be brought in the courts of England & Wales, without prejudice to any mandatory consumer rights you have in the country where you live.
